Quora Global Job Applicant Privacy Notice

This Job Applicant Privacy Notice (“Notice”) informs you of how Quora, Inc. and its affiliates (“Quora”, “we”, “our”, or “us”) collect and use information about you, as well as your privacy rights, when you apply for a job with us. Quora, Inc. or the Quora affiliate that you work with during the job application process is the data controller of your personal information. 

Information We Collect and Process

We collect and use the following personal information when you apply for a job with us:

  • Personal details and contact information: Where required, this includes information such as name, home address, phone number, email address, nationality, and place of birth. If voluntarily disclosed, we may also collect information about your gender, veteran status, ethnicity, disability status and information relating to accommodations that you may request during the recruiting process based upon your consent.

  • Recruitment information: This includes information you provided during the application process (e.g. in your application or resume) such as city/country where you want to work, ability to work during Quora’s “coordination hours”, desired salary, references, education and employment background, work permit or visa information, technical skills, professional qualifications, language capabilities, whether you are subject to any non-compete restrictions, and any other information you provide.

  • Publicly available information: We may obtain relevant education and work experience that is publicly available via online professional media sites such as LinkedIn.

  • Interview details: We may generate information about you during the interview process, such as assessments or interview notes. 

  • Results of screening checks: If we make a conditional offer of employment, it may be subject to certain background checks or references. We will consider the results of these checks in accordance with applicable law.

  • Offer-related information: If we prepare an offer to you and you accept, we process your civil status, nationality, ID card or passport details, declaration of employment status, work permit details, terms of employment, and tax details.

  • Cookies information: We collect information about you via cookies when you visit Quora’s platform to apply for a job. Please see our Cookie Policy for more. 

We generally collect your personal information directly from you, but there may be some circumstances where we obtain information from public sources or third parties such as recruitment agencies, referees, background check parties, staff, and other publicly available sources. You are not required to provide your personal information to us, however we may not be able to process your job application without this information. 

The following types of personal information may be considered sensitive in some jurisdictions: health information (including disability status and related accommodations), ethnicity, government identification number, and certain information collected in connection with criminal background checks. For a list of information that may be considered sensitive under California law, please refer to the Additional Information for California Job Applicants section below.

Purposes and Legal Bases for Processing Your Personal Information

We process your personal information for the primary purposes of progressing applications and assessing the suitability of candidates for employment with us. We use your information to review your application, verify the information you provide, check references, assess your qualifications for the relevant opportunity (or, in some cases, other opportunities) with us, determine your eligibility to work, calculate your salary, and, if you are successful, prepare an offer letter. 

We also use your personal information to communicate with you (including communication about your application, prospective employment, and other job opportunities that may be of interest to you). In some cases, we may use your personal information to comply with applicable laws and regulations or defend our legal rights or the rights of any third party.

We process your personal information based upon our legitimate interest in managing the application process and hiring qualified candidates. We also use your personal information as necessary to prepare and enter into an employment contract with you and to fulfil legal or regulatory requirements, where necessary. In some cases we may ask for your consent to process certain information. Where you have given us consent to process your personal information, you may withdraw your consent at any time using the contact information below.

How We Share Your Personal Information

We may share your personal information internally with individuals involved in the hiring process, other Quora affiliates, and/or third-party service providers for the business purposes described above. These include, for example, service providers who provide pre-employment screening services, recruitment agencies, immigration and employment lawyers, and consultants.

We may also disclose your personal information with third parties in the following circumstances: (i) to perform services on our behalf, consistent with the purposes described in the Purposes and Legal Bases for Processing Your Personal Information section; (ii) when required by law; (iii) in response to a legitimate request by law enforcement; (iv) to seek legal advice or in connection with litigation with a third party; and/or (v) in connection with the sale, purchase, or merger of a business. We may also share your information with your consent.

How We Transfer Your Personal Information  

When you submit your application to us or send or provide us other information, your personal information is sent to, accessed, and stored in countries globally, including the United States where Quora Inc. is located. We and our service providers may transfer your personal information to, or access it in, jurisdictions that may not provide equivalent levels of data protection as your home jurisdiction. We take steps to ensure that your personal information receives an adequate level of protection in the jurisdictions in which we process it. Where we transfer your personal information outside of the European Economic Area or the United Kingdom, we rely on transfer mechanisms, such as the European Commission approved Standard Contractual clauses and intra-group transfer agreements, to ensure your personal information is protected.

Retention

We retain the personal information we collect about you for no longer than necessary and in accordance with our legal obligations and legitimate business interests. If you are a successful candidate, your information will be retained as part of your employee file for the duration of your employment and for an extended period of time to comply with our legal, tax, and reporting obligations. If you are an unsuccessful candidate, to the extent that you give us consent, we may retain your personal information for the purpose of considering your application for current and future open positions. You may withdraw your consent at any time. 

Security

We implement appropriate physical, administrative, and technical measures to protect your personal information against accidental or unlawful destruction, access, loss, or damage.

Your Rights

Depending on where you live, you may have certain rights regarding your personal information. These may include rights to:

  • Access your personal information

  • Request certain disclosures about the information we process 

  • Rectify the personal information we hold about you

  • Erase your personal information

  • Restrict our use of your personal information

  • Object to our use of your personal information

  • Data portability

  • Withdraw consent you have given at any time

  • Lodge a complaint with your local data protection authority

If you would like to exercise your rights, please contact us at privacy@quora.com. We may request that you provide additional personal information in order to verify your request. You can also designate an agent to submit a request on your behalf by having the agent contact us at privacy@quora.com. The agent must provide proof that you gave the agent authorization.

Quora will not discriminate against you, including by denying or providing a different level or quality of services, if you choose to exercise your privacy rights. Quora may refuse your privacy request in certain cases, subject to applicable law. 

Additional Information for California Job Applicants

This section provides information organized in accordance with the California Privacy Rights Act (“CPRA”) for residents of California about how we handle personal information, including categories of personal information that we collect and use in order to operate our business over the past 12 months.

Collect. As we describe in more detail in the section above titled Information We Collect and Process, we collect personal information from you or from third party sources during the recruiting and hiring process. This includes: 

  • Personal identifiers (such as, name, online identifiers, IP address, email address)

  • Professional or employment related information (such as information from your resume)

  • Education information (such as information about where you attended school)

  • Inferences (such as an applicant's preferences, characteristics, soft-skills, and behavior)

  • Sensitive personal information (such as ethnicity, veteran status, or disability status/accommodations if voluntarily disclosed) 

Use. The section above titled Purposes and Legal Bases for Processing Your Personal Information discloses that the categories of personal information we collect are used for various purposes, including to recruit, screen, assess, and hire talent. 

Disclose. As we describe in more detail in the section above titled How We Share Your Personal Information, we may disclose all of the categories of personal information described above for business purposes with service providers, affiliates, law enforcement authorities, in the context of a merger or acquisition, and as required by law.

We do not sell or share your personal information to third parties, nor do we sell or share personal information from individuals under 16 years old.
